Spreadsheets vs Membership Software: Google Sheets, Mailchimp & Recur
Google Sheets and Mailchimp can be a sensible, low-cost starting point for an association. A spreadsheet is flexible and Mailchimp is a capable email marketing platform. The decision is whether your team can reliably connect dues, member status, communications and events through separate processes—or would benefit from dedicated membership software.
Which platform fits your organization?
Consider Recur when
A membership team spending substantial effort reconciling dues, renewals, member records and events, and ready to evaluate connected workflows and a self-service member portal. Recur is worth considering only if its confirmed functionality and complete cost fit your needs.
Consider Google Sheets + Mailchimp when
A small association with straightforward dues, few changes, a trusted process owner and manageable event needs. A well-maintained spreadsheet plus appropriate communication and payment tools may remain the better use of a limited budget.
Compare the workflows that matter
| Workflow | Recur | Google Sheets + Mailchimp |
|---|---|---|
| Initial setup | Configure membership rules, permissions and data imports with a migration plan. Agree on any assisted setup services. | Manual setup required: flexible columns, permissions and a process for each separate tool. No complex AMS implementation is needed for a simple sheet. |
| Monthly software costs | Recur starts at $75/month for fewer than 250 contacts, $105/month for up to 1,000 contacts, and $25/month per additional 1,000 contacts. | Depends on plan: Sheets can be created with a Google Account; Workspace/business features may cost extra. Mailchimp Free has strict contact/send limits. Payment, event or integration tools may add costs. |
| Member database | Member records, dues and renewals, with a base self-service member portal included. | Manual setup required: Sheets stores flexible records; Mailchimp manages audiences. Decide which system owns membership status and keep stable member IDs. |
| Dues tracking | Membership dues, payments and renewals connected to member records. Demonstrate offline-payment reconciliation and your specific rules. | Manual setup required: record invoice amount, due date, payment date/reference and status; reconcile against your payment or bank records. |
| Automatic renewals | Renewal workflows in the membership platform. Confirm reminders, recurring-payment requirements and exception handling in a demo. | Available through configured additional tools or integrations; a sheet and newsletter audience alone are not an automatic dues-renewal system. |
| Member portal | Base self-service member portal included. Validate the access rules and member tasks you need. | Additional setup/tools required for dedicated member access. Spreadsheet sharing and a newsletter signup do not by themselves create a membership portal. |
| Email marketing | Email and member outreach; optional Text Messaging: $25/month plus message usage. | Mailchimp is built for campaigns and audience management. Features depend on plan; not every automation, segmentation or support option is included on Free. |
| Event registration | Event registration, payments and attendance connected to member records. Test your specific event workflow in a demo. | Manual setup or separate tools for registration, payments and attendance; reconcile participants to the member list if those tools are not connected. |
| Reporting | Membership and event records are held together; test the reports and exports your board actually requires. | Sheets supports formulas, filters and analysis; Mailchimp has campaign reporting. Cross-tool membership and payment reporting needs maintained definitions and reconciliation. |
| Data synchronization | Connected membership workflows reduce the need to maintain separate copies for those functions. External integrations still require verification. | Manual imports or configured integrations. Google Sheets does not automatically synchronize a membership database with Mailchimp without setup or additional tools. |
| Ongoing administrative effort | Configuration, exceptions, communications and oversight still take work. An AMS does not eliminate administration. | Maintain lists, reconcile payments, update statuses and monitor automations. Effort depends on complexity, volume and the reliability of your process. |
Pricing considerations
Recur starts at $75/month for fewer than 250 contacts, $105/month for up to 1,000 contacts, and $25/month per additional 1,000 contacts.
Website Builder and Text Messaging are optional add-ons at $25/month and $25/month respectively; message usage is charged separately. LMS is $150/month, and Advanced Member Portal is $29/month. The base self-service member portal is included. Custom website builds and maintenance are quoted separately.
Mailchimp's current Free marketing plan includes up to 250 contacts, 500 email sends per month and a 250-send daily limit, with one audience and one seat. Paid pricing depends on contact count and functionality; not all Mailchimp features are available on Free. Google says anyone with a Google Account can create in Sheets, while some features require paid Workspace plans. Budget separately for any payment, registration, website and integration tools you actually use. There is no universal price for a manual technology stack.

Google Sheets + Mailchimp
The work is possible through manual processes or configured integrations, but ownership, permissions, reconciliation and error handling must be maintained. Mailchimp plan limits and contact definitions differ from association membership status. Do not assume a native, automatic synchronization or every marketing feature on Free.
Plan your migration
- Identify the authoritative member register, preserve stable IDs and reconcile it with payment references, event records and Mailchimp marketing permissions.
- Inventory contact records, membership types, renewal dates, consent preferences and documents. Confirm what your current vendor can export.
- Map fields and relationships with your new provider. Test a sample import and reconcile member, contact and payment totals before the full move.
- Review recurring payment permissions, open invoices, accounting mappings, website URLs and email-domain settings. Payment credentials may need a separate transition.
- Agree on staff training, member communications and a cutover date. Keep access to historical records and confirm your existing notice and renewal terms.
Why small associations start with spreadsheets
A sheet is familiar, flexible and easy to edit. A simple association can start tracking its members without designing a full software implementation. Google Sheets supports collaboration, permissions and version history; Excel can also support a documented membership process.
Low initial software cost can be a real advantage when there are few renewals and a capable volunteer maintains the records. Do not replace a reliable process only because it is a spreadsheet. Compare the work and risk you actually have, not an imagined future organization.
What Google Sheets and Mailchimp do well
Sheets is useful for flexible data organization, formulas, filters and collaborative editing. Mailchimp is a capable email marketing platform for campaigns, audiences and plan-dependent marketing functions. Neither tool is inferior simply because it is not an AMS.
Some organizations also use Google Forms for applications, Stripe or PayPal for payments, and Google Calendar or separate event tools. These are examples, not a required stack and not a statement that every organization uses them all.
What becomes difficult as your association grows
More changes create more reconciliation work: a payment arrives under another name, a member renews after a newsletter export, or the outgoing treasurer holds the latest file. These are process risks, not proof that spreadsheets always fail.
A spreadsheet and Mailchimp do not by themselves provide one unified membership system. Dues, registration, directories, portal access and responsibility assignments need explicit processes or additional configured tools. These workflows are possible without an AMS, but someone must maintain and monitor them.
How to manage dues and renewal dates manually
Use one authoritative member register with a stable member ID. A practical starting set of columns is membership type, renewal date, amount due, payment status, payment date and payment reference. Keep payment evidence in the appropriate financial system; do not store card details in the sheet.
Set a recurring review date. Filter upcoming renewals, send reminders using the right communication permissions, reconcile payments before changing status, and retain a record of exceptions. Define who handles late payments, refunds, waivers and offline checks rather than relying on a formula alone.
Keep member records and email audiences synchronized
Choose which system owns each field. Membership status and marketing permission are different: a paid-up member may unsubscribe from newsletters, and a newsletter subscriber may not be a member. Preserve opt-outs and consent when importing or synchronizing data.
Google Sheets does not automatically integrate with Mailchimp just because both tools are in use. Manual exports/imports, a configured connector, API work or third-party automation can maintain a connection, but that connection needs mapping, duplicate handling, error checks and an owner.
Mailchimp counts subscribed, unsubscribed and non-subscribed contacts toward plan limits; cleaned, pending and archived contacts are treated differently. Use its official contact definitions when estimating audience costs rather than equating every subscriber with an active association member.
Event registration and reporting considerations
Separate forms and event tools can work well. Decide how registrations, payments, cancellations and attendance are recorded, how member versus guest pricing is checked, and how registrants are matched back to your member register.
For board reporting, define what counts as an active member on a particular date. Reconcile membership totals to payment records and compare those to newsletter audiences instead of treating any one list as the complete answer. Test whether an AMS would meaningfully simplify those specific reports.
Individual tool costs versus integrated software
List only the tools you actually need. Include paid email contacts and sending allowances, form or event plans, website/member access tools, processing fees and any automation subscription. A personal Google Account or a Free Mailchimp plan does not establish that every business feature or end-to-end workflow is free.
Mailchimp Free currently allows 250 contacts, 500 monthly sends and 250 daily sends. Two newsletters to a full 250-contact audience would use that monthly send allowance; additional reminders or campaigns need room in your plan. Paid plans vary, so use the current official calculator rather than an assumed flat price.
Compare that stack with Recur's published contact tier, optional tools and services. Then consider administrative time separately. A lower subscription is not automatically a lower overall operating cost, and time value is not the same as cash you would actually save.
Account for the time spent on manual administration
Track a typical month of updating records, reconciling dues, synchronizing audiences, sending reminders, preparing events and handing over volunteer responsibilities. Use observed hours rather than an invented industry average.
The calculator below multiplies your monthly hours by 12 and your chosen hourly value. It estimates the annual value of that work, not hours Recur will eliminate or a guaranteed return on switching. Volunteer time can have value without creating a cash expense.
When spreadsheets are still the right choice
A manual approach may still fit when membership is small and stable, dues rules are simple, events are infrequent, the owner can reliably reconcile records and no dedicated member portal is needed. Keep the process documented so it does not depend on one volunteer's memory.
Review permissions, backups, access after board turnover and your approach to marketing consent even when you keep the current tools. Choosing not to buy an AMS can be a sensible outcome of this comparison.
Signs your association may need dedicated software
Evaluate an AMS when repeated data entry, missed renewals, inconsistent statuses, growing event complexity or difficult volunteer handovers are creating measurable work. These are prompts for investigation, not proof that any particular platform solves every issue.
- Staff cannot agree which list is the current member register.
- Payment reconciliation and renewal reminders routinely fall behind.
- Member access or event pricing depends on repeated manual checks.
- Audience changes and opt-outs are difficult to keep synchronized.
- Board reports require rebuilding the same joins and calculations every month.
What migration to an AMS actually involves
Inventory your sheets, audiences, membership rules, consent, transaction references and event history. Identify duplicate records and choose a stable ID before importing. Preserve evidence and opt-outs instead of treating a new platform as fresh marketing permission.
Test a sample import and a real renewal, event and member-access scenario. Confirm recurring-payment permissions separately, agree on responsibilities and staff training, and keep an archive. Automation and member communications still need oversight after launch.
When Recur might be worth considering
Recur brings confirmed membership records, dues, renewals, a base member portal, events and member outreach into a membership-focused platform. Website Builder, Text Messaging and LMS are optional; custom website services are quoted separately. Do not assume it replaces every specialist marketing, accounting or event tool you use.
Bring a representative renewal, event and board report to a conversation. Check the actual workflow, selected contact tier, optional costs and migration work against your current process. Recur may fit a team that values connected membership work and personal help, while a small, well-run manual process may remain the right choice.
Put a value on manual membership work
Annual administrative time value = monthly hours × 12 × hourly value. Example assumptions: 8 hours/month × 12 × $30/hour = $2,880/year. This is illustrative labor value, not guaranteed savings or a claim that Recur eliminates administrative work. Use the interactive calculator to change your assumptions.
Frequently asked questions
Can we manage association memberships in Excel or Google Sheets?
Yes. A spreadsheet can track IDs, membership types, dues dates and payment references when someone maintains and reconciles the process. Communications, payments, member access and events may require separate tools. Whether that remains practical depends on your complexity and team.
Is Mailchimp a membership database?
Mailchimp manages marketing audiences and campaigns, with features depending on plan. A contact's marketing status is not the same as association membership or dues status. You can use it alongside a member register, but a unified membership workflow needs manual processes or configured integrations.
What are Mailchimp Free's current limits?
The official marketing pricing page lists up to 250 contacts, 500 email sends per month and a daily limit of 250, with one audience and one seat. Not all paid features are included. Verify the current official plan before budgeting.
Can we automate membership renewals without an AMS?
Yes, using additional tools, configured integrations or custom workflows. Define how payments, due dates, statuses and reminders stay synchronized and how errors are handled. Google Sheets plus a newsletter audience alone does not supply that complete workflow.
Does the time calculator show savings from switching to Recur?
No. Monthly hours multiplied by 12 and an hourly value gives an illustrative annual value of administrative time. It is not a guarantee of time saved, a software quote or proof that an AMS will reduce cash expenses.
